As a Sr. Administrative Specialist supporting our Research & Development (R&D) team in Dalton, MA, and Tumba, Sweden, you will be responsible for providing administrative support to VP of R&D and Technology and his staff. In this position, you will also implement and maintain systems required to report R&D project status and costs. The successful candidate will have the ability to “jump in” and contribute immediately to the organization. 



  • Develop and maintain project initiation and tracking processes, procedures and databases.
  • Collect and assemble time allocations, expenses and trial costs for R&D projects in defined categories and by business areas to be in compliance with USC audit process.
  • Report R&D project cost to Accounting on a monthly basis for the financial statements.
  • Administer Global Project Requests in Share Point Portal.
  • Maintain and update Technician Requests for current R&D project assignments for Dalton R&D in Share point Portal. Document weekly safety walks, follow-up on action items from the findings & maintaining the log.
  • Assist R&D staff with key words-based patent searches to assist with Invention disclosures for new ideas or high level FTO searches using Intellectual Property software services.
  • Maintain R&D project folders in corporate drive for security control over R&D documentation, inventions and trade secret protocols.
  • Receiving, logging and tracking secure materials for both US and International currency related project materials as per contract.
  • Handle the purchase requisitions and purchase orders for internal and external project related supplies, lab supplies, office supplies etc.
  • Schedule, book and coordinate frequent and changing travel arrangements - both international and domestic. 
  • Prepare, reconcile and track expense reports through internal system.
  • Draft, prepare and edit general correspondence, memos, charts, tables, graphs, business plans, etc. Proofread documents for spelling, grammar, and layout; making appropriate changes as needed.
  • Work independently on special nonrecurring and ongoing projects.
  • Perform any other administrative tasks as assigned. 


  • High school diploma or equivalent with minimum of 8 years’ experience in administrative and office management.  Associates, Bachelor’s degree or continuing education in business or related field is highly desirable with 3-5 years’ experience in administrative and office management.
  • Knowledge of and demonstrated ability or understanding of accounting and other business management principles.
  • Proven competency with MS office programs (Microsoft Word, Excel, and PowerPoint) and ability to learn user skills in other web applications. User knowledge of MS Access, and MS Project program is highly desirable but not an essential requirement.
  • Maintains a professional demeanor at all times; friendly, helpful, outgoing, and comfortable interfacing with vendors, visitors and clients. 
  • Must be a “team player" and able to work with all levels of the organization effectively and efficiently.
  • Ability to maintain and handle confidential materials, information and situations on a routine basis.
  • Ability to work under time constraints and meet deadlines while multitasking and maintaining a high attention to detail.
  • Excellent organizational, grammar, punctuation and spelling skills required, as well as outstanding verbal and written communication skills.
