    Responsibilities

    Teamwork is Currency at Crane!

     

    This Executive Administrator position plays a critical role in supporting the Crane Currency Alpharetta, GA location and local management team. The successful candidate will have the ability to “jump in” and contribute immediately to a fast-moving global organization. Adaptability as well as exceptional organizational and communications skills is integral in this role.

     

    Responsibilities:

    • Coordinate frequent and changing travel arrangements – both international and domestic
    • Coordinate all aspects of executive level appointments, meetings , conference calls and video conferences
    • Prepare, reconcile and track expense reports through internal system
    • Acts as project manager on special assignments at the request of the Executive, which may include planning and coordinating multiple tasks and disseminating information
    • Works independently on special nonrecurring and ongoing projects
    • Organizes and prioritizes large volumes of information and communications for the executive
    • Drafts written responses or replies by phone or e-mail. Responds to regularly occurring requests for information. Handles correspondence not requiring personal attention of the executive
    • Authors and prepares general correspondence, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy
    • Greets and assists visitors and vendors, answers telephone calls and forwards phone messages as necessary 
    • Responsible for keeping the office clean and organized
    • Assist executive staff in scheduling meetings, reserving conference rooms, updating the daily conference room schedules, ordering and setting up meals
    • Inventory, order, organize, and store office and kitchen supplies from vendors
    • Must have high level of interpersonal skills to handle sensitive and confidential situations
    • Position continually requires demonstrated poise, tact, and diplomacy
    • Performs other administrative tasks as assigned

    Qualifications

     

    • Minimum High School Diploma or equivalent.  Bachelor’s degree highly preferred
    • Excellent knowledge in the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
    • Experience with MS. Publisher and SharePoint is a big plus
    • Must have a professional demeanor, be friendly, helpful and outgoing, and possess the ability to interface effectively with all levels of staff, clients, vendors, and visitors. 
    • Excellent written and verbal communication skills
    • Must be a “team player" and be able to work with all levels of the organization effectively and efficiently
    • Ability to maintain and handle confidential materials on a routine basis
    • Ability to work under time constraints and meet deadlines while multitasking
    • Excellent organizational, grammar, punctuation and spelling skills required, as well as outstanding verbal and written communication skills
    • Willing to work occasional overtime, some weekend work could be required but not typical
